Office Assistant Req #: 30103068 Category: Admin Support/Clerical Facility: Royal Oak Hospital Department: Northpointe Cardiology HOPD Schedule: Full time Shift: Days Job Details:General Summary:Retrieves and prepares charts for scheduled office appointments or tests, 48 hours in advance, and scans charts according to department procedure. Makes contact with patient or referring physician to retrieve patient records for upcoming visit. Researches multiple computer systems to retrieve patient records, test results, and reports ofprocedures to incorporate this information into NHC patient record as appropriate per physician request. Sends and receives patient records to/from the off-site storage facility as required. Retrieves, file/scans loose papers and lab reports that are not yet filed/scanned into the patient record prior to the scheduled visit. Participates in a monthly record purge and maintains an accurate list of records kept in the Purge Room. Maintains a log of all charts that are being scanned for proper storage. Reports to HIS supervisor when boxes are complete and ready for pick-up. Other clerical duties as outlined by the supervisor and departmental needs.Essential Duties:*Locates and delivers patient charts as requested for medical records, test results, prescription refills, and miscellaneous correspondence.*Prepares daily encounter forms/charts for patient visits, assists with pulling of charts from offsite storage, attaches appropriate paperwork for each visit type, prepares complete daily encounter form/chart for add-on and walk-in patients.*Scan/Interfile all necessary papers including correspondence, labs, diagnostic tests, and old medical records per department guidelines.*Reviews electronic charts or paper chart for appropriate physician signatures/names for correspondence.*Answer phones and schedule appointments as needed.Standard Qualifications:Education: High School Diploma or equivalent required.Experience: One year to 18 months experience in medical or general office settingSkills Abilities: Excellent communication skills required. Ability to perform in a multiple task environment. Must exhibit behavior associated with the Beaumont Standards of courtesy, directions, image, introduction, dignity, comfort, information, response, confidentiality and teamwork. Individual must be able to work in a team environment and be able to relate well to physicians, nurses, patients, families and co-workers.
