This position will provide administrative and executive support to the Children’s Trust Fund Executive Director (CTFED) and to the CTF office. Position will schedule and arrange meetings/conferences for management staff and notifies interested parties; make travel reservations and coordinates office activities. Manages small projects for ED, organizes and serves as liaison to systems for approval of critical functions, understand outcomes with ability to anticipate next steps and schedule ahead. Receives and screens visitors and telephone calls, takes messages and schedules appointments for CTFED. This position will also be responsible for assisting with logistical coordination of resource development, including the Pam Posthumus Signature Auction Event and assisting staff with general office functions. Proofread and correct prepared materials for formatting and completeness. Maintains confidentiality of documents and information received; keeps information of office details and advises CTFED of problems, sorts, opens and distributes incoming mail to staff and associates incoming correspondence with files or related materials need for meetings (inc Board), correspondence or reports, takes minutes or records meetings when needed by CTFED; assists in creating and revising forms; proposes procedures, formats and standards for office correspondence and assists in providing recommendations for improving efficiency and economy of operations. POSITION DESCRIPTION
Required Education and Experience
Education typically acquired through completion of high school.
Preferred education: Possession of at least an Associates degree.
Four years of office experience involving administrative support practices, including two years equivalent to an experienced, E7-level, administrative support worker, Secretary 7, or Legal Secretary 7; or, one year equivalent to an advanced, 8-level, administrative support worker, Secretary E8, or Legal Secretary E8.
Alternate Education and Experience
Possession of an associate's degree in applied arts and sciences in an executive secretarial science curriculum may be substituted for one year as a Secretary 9.
