National Dentex Office Manager/Lab Administrator in Lansing, Michigan

We offer a full spectrum of specialized products, services, and technologies to address any dental restoration need. Currently, we have 30+ labs throughout the country. Our team is growing, and we are seeking to fill a number of key positions within our organization including this opportunity at NDX Dental Art Laboratories in Lansing, MI for a Full-Time Office Manager/Lab Administrator.

The regular hours for this position are from 7:30am to 5:00pm, Monday through Friday, and subject to change from time to time.

Primary Responsibilities and Essential Functions of the Position:

  • Works closely with the General Manager to set, monitor and meet overall business goals

  • Communicates and works with the corporate office on financials, policies and other corporate objectives. Participates in corporate projects as needed.

  • Manages the Shipping & Receiving team

  • Manages the purchasing/inventory process (physical & systemic)

  • Participates in Company sponsored training and meetings as required

  • On-call for building security based on rotation schedule

  • Maintain confidential information in accordance with company policy

  • Other duties as assigned

Accounting

  • Oversees Company’s overall budget and capital purchases. Works with all department leaders to plan goals, monitor results and implement changes when needed.

  • Applies principles of accounting to analyze financial information and prepares monthly financial statements and supporting schedules, annual budgets and cost analyses

  • Maintains the laboratory general ledger

  • Manage the A/P and A/R functions

  • Prepares necessary journal entries for monthly account closing

  • Follows up with accounts past due to insure timely collection of monies due and that commitments are adhered to as well as manages the timely posting of cash to accounts and the reconciliation process

  • Assists in the annual business plan process

  • Assists in documentation and monitoring of internal controls and reports

  • Interacts with external auditors to complete audits

  • Coordinates and assists in monthly AR close and monthly AR statement process. Monitors Accounts Receivable for overdue or problem accounts. Follows up with appropriate collection procedures.

  • Works with the corporate office to provide accounting and reporting information as needed

Administrative/IT

  • Maintains & renews all lab permits & licenses

  • Oversees all aspects of the fleet vehicles

  • Performs as the IT interface for laboratory. Manages IT resources.

  • Manages the building/equipment maintenance and cleaning service.

  • Serves as a backup resource for the Shipping & Receiving team and performs scheduling, billing, invoicing and wrapping as needed

  • Primary backup to the Purchasing/Supply Coordinator and Production Managers as needed

  • Responsible for being the Super User for Magic Touch

Human Resources

  • Assists and works with managers on Kronos timekeeping and payroll approvals

  • Performs new hire orientation, onboarding in Ultipro and submits proper new hire paperwork to the Payroll Office, by the set deadline

  • Submits payroll changes and ensures timecards are approved by management and that information is accurate

  • Writes and delivers performance evaluation for the Shipping & Receiving Team Lead; provides feedback and input for the Driver and Shipping & Receiving performance appraisals

  • Involved in the hiring process for Shipping & Receiving team members

  • Administers corrective action and is involved in coaching situations relative to the Shipping & Receiving team

  • Ensures the laboratory is in compliance with safety and OSHA regulations, including timely accident reporting and assurance that mandatory safety measures are being followed.

  • Must have a valid driver’s license, maintain a clean driving record, and follow NDX/Dental Art Company Automobiles policy in order to operate a Company owned vehicle.

  • Ability to work in a fast paced, ever changing work environment.

Minimum Education and Experience Required:

  • High school diploma or GED required

  • Required: Associate Degree (Preferred in Accounting)

  • Preferred: Bachelors Degree in Business

  • Required: Minimum of 3 years direct experience in general accounting or office management

  • Preferred: Minimum of 1 year experience in cost accounting

Hazardous Materials or Equipment Used:

  • Office Equipment (Computer, Copier, Paper Cutter, etc.)

Physical Requirements:

  • Regularly required to sit, stand, walk, bend, kneel and/or reach

  • Ability to read and comprehend written communications
