Consumers Energy, the principal subsidiary of CMS Energy and headquartered in Jackson, Michigan, provides natural gas and electricity to nearly 6.8 million of Michigan's 10 million residents in all 68 Lower Peninsula counties.In this role, you will report to and support two Executive Directors in a fast-paced and dynamic environment. Additionally, you will promote Consumers Energy by representing the Executive Directors internally and externally as well as serving as a liaison between the Executive Directors, key executives, employees, contractors, managed services providers, and outside vendors. As such, a large portion of the work is coordinating among the different IT teams, various business teams and vendor partners. This position can be remote from in Michigan.Responsibilities:and#8226;Representing the Executive Directors by welcoming visitor, arranging department functions and special events, and answering questions and meeting requests directed to the Executive Director either on location or remotely.and#8226;Facilitating virtual team meetings utilizing Microsoft Teamsand#8226;Performs administrative support functions and complex tasks including establishing relative priorities of the group's activities based on direction from the Executive Director;and#8226;Schedules and coordinates meetings for the Executive Director, ensuring the Executive Director's time is managed closely; full calendar management. Handling complex integration of conflicting calendar priorities, also includes coordinating leadership team meetings.and#8226;This includes assembling and preparing/editing the material for the meetings, arranging and coordination of all the necessary meeting logistics and preparing agendas, notes, and minutes for the meetings.and#8226;Coordinates with company departments to arrange for and maintain the functionality of office systems and support services (e.g., copiers, phones, meeting room resources, supplies, report printing and publishing, mail/delivery, etc.) to support the productivity of the team members.and#8226;Fielding and handling cold calls from outside vendors.and#8226;Improving overall TSM service quality by studying, evaluating, and simplifying / re-designing processes, implementing changes to operating systems or cadence as needed;and#8226;Reading, analyzing and routing incoming email with appropriate files or materials attached to correspondence to be answered. Composing correspondence, reports or material for signature, and answering questions and meeting requests directed to the Executive Director;and#8226;Researching and preparing memos, reports, financial data, and other informational materials as requested or deemed necessary;and#8226;Completing a variety of administrative support tasks, including answering phones, filing, creating / modifying complex documents (Microsoft Word, PDF, OneNote, SharePoint, etc.), preparing presentations (Microsoft PowerPoint), creating and modifying spreadsheets (Microsoft Excel), making copies, arranging meetings, organizing and maintaining a busy calendar (Microsoft Outlook), etc.;and#8226;Arranging corporate travel and meetings by developing itineraries and agendas, scheduling flights or booking other transportation, arranging lodging and meeting accommodations; andand#8226;Completing projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans.and#8226;Ability to handle multiple assignments under tight deadlines;and#8226;Ability to efficiently maintain travel logistics and scheduling;
