Position Summary

This position provides support to the Libraries Development Officers in the areas of Prospect/Donor Identification, Cultivation and Stewardship; Office Management; and Budget/Management.

Characteristic duties and responsibilities of this position include:

Prospect/Donor Identification, Cultivation and Stewardship

  • Assists in researching, planning, implementing, and managing of fundraising activities on behalf of the Libraries to obtain a broad base of practical experience in all aspects of fundraising, draft proposals, acknowledgements, and other reports relating to fundraising programs

  • Assists in staffing donor cultivation events. Participating in donor cultivation and stewardship activities including meeting and greeting donors and guests, addressing questions and concerns

  • Identify development prospects audiences, using various University Advancement software tools, for focused donor engagement, fundraising efforts and event activities

  • Assists in managing lapsed donors to include research, provide reports with historical data for follow through

  • Researches, identifies, and drafts biographical information on possible prospects for major and special gifts; including gathering alumni/donor history of gifts and pledges and business history, and assisting development officers with screening information and preparing for cultivation and solicitation visits

  • Assists development staff with the development and preparation of proposals, case statements and other support materials for prospective donors by meeting with faculty and administrators, gathering information about projects in need of funding, conducting additional research

  • Drafts acknowledgements and reports relating to development programs, including the management of memento distribution and delivery plans

  • Prepares content for endowment agreements, presentations and case statements

  • Runs lists of donors and prospects for development team

  • Serves as a point of contact for the development office

  • Responsible for gift processing to University Advancement; assists with preparing endowment stewardship reports

  • Prepares acknowledgement letters to donors; generates monthly incoming gift reports

  • Manages gift-in-kind process. Creates gift-in-kind paperwork, including mailing thank you letters to gift-in-kind donors, following up regarding the paperwork and answering questions potential donors may have

  • Assists in drafting gift agreements for the Library. Coordinates with the Office of Finance and Endowments in University Advancement to ensure that endowment agreements proceed in a timely manner through the entire process

Office Management

  • Provides the administrative support of the Libraries development work, including building budget and finance reporting.

  • Answers multiline phone, development emails, and internal documents

  • Oversee the processing, acknowledging and tracking of gifts directed to the Libraries

  • Provide support to the unit in making travel arrangements, completing travel reimbursements and scheduling meetings

  • Prepares vouchers and reconciles purchasing card statements in Kuali/EBS for development officers and alumni coordinator, maintains financial records/receipts for Kuali/EBS budget reconciliation

  • Prepares mailing lists, VIP and top donor lists, requests appeal codes, requests and develops fundraising reports as needed

  • Creates and maintains letters, invoices, spreadsheets, reports and mail merges as needed


  • Assists Director of Development in establishing annual budget and budgetary guidelines for the unit as well as short and long-term budget planning

  • Assists the development officers to prepare annual operating plan

  • Prepares event budgets and final event budget reports

  • Forecasts, monitors, analyze and reconciles accounting records following MSU policy and procedures

During the current pandemic situation, the majority of work will be done remotely in a home office with periodic trips to the building to perform business tasks that cannot be completed remotely.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which would normally would be acquired by completing a four year college program in Communications, Public Relations, or Marketing; up to six months of related and progressively more responsible or expansive work experience in professional fundraising, public relations, marketing, or a related field; or an equivalent combination of education and experience.

Desired Qualifications

Knowledge of donor identification, cultivation, solicitation and stewardship processes that would normally be acquired by working in a development office for a minimum of two years; possession of a valid vehicle operators license; experience in a public speaking and professional writing; proficient with Microsoft Excel, Microsoft Word, Microsoft Power Point, Microsoft Outlook
