Sales Event Planner– AAA-The Auto Club Group

What you will do:

The Auto Club Group is seeking prospective Sales Event Planner who assist in the development and execution of corporate sales events, initiatives and award presentations. Facilitate the logistics of the event planning process, to include: theme/décor selection and set-up, food and entertainment, selection of gifts/giveaways and awards, marketing/communications support, event registration, event schedule, managing on-site staff and coordinating participant travel and lodging logistics.

Responsibilities include:

  • Assist event committee in site selections and event presentations to senior leadership.

  • Serve as the on-site coordinator to assist event participants, address issues or changes in logistics.

  • Assist the event committee in budget creation.

  • Work with vendors to negotiate prices for services/products offered.

  • Monitor and present budget activity to event committee.

  • Close-out event budget by reconciling expenses, resolving billing issues and submitting expenses for payment.

  • Make recommendations regarding vendors, budget, logistics of events and enhancements for future events.

  • Handle special projects or additional Sales events as assigned.

Qualifications

We’re looking for candidates who:

Education:

  • College level coursework or equivalent in a related field

  • Bachelor’s Degree in Business Administration or related field preferred

Experience:

  • Planning and managing corporate events, conferences and meetings

  • Coordinating travel, lodging and meals for event participants and attendees

  • Demonstrating proficient time management/organization skills

  • Serving as the event liaison at events

  • Negotiating contractual agreements with vendors

  • Developing strong relationships with internal clients and external business partners

  • Analysis and problem-solving

  • Coordinating and controlling projects

  • Preparing and monitoring event budgets

Knowledge and Skills:

Knowledge of:

  • Event planning ideas and techniques

  • Project management and coordination techniques

Ability to:

  • Organize and manage full scale events, meetings, conferences, and incentive trips

  • Demonstrate excellent oral and written communication skills within the work environment and with the public

  • Prepare and conduct presentations for all levels of management

  • Represent the company at corporate events

  • Manage multiple tasks with level of organization, attention to detail and accuracy

  • Manage event budgets

  • Maintain documentation of event details

  • Manage confidential information effectively

  • Work under pressure to meet deadlines
